Define the decision before comparing products

Write requirements in plain language. “Customers must choose a service, see available times, pay a deposit and receive a confirmation” is testable. “Needs a booking system” is not. Separate requirements into must-have, useful and optional so attractive extras do not distract from core needs.

Compare total cost, not the introductory figure

Calculate the annual subscription after promotions, domain renewal, business email, paid apps, premium templates, payment processing, transaction charges and any specialist work. Then estimate the cost of a likely change: adding a shop, accepting bookings, introducing memberships or moving away.

Test limits before design polish

A polished homepage is easy to demonstrate. The harder tests are operational: editing navigation, handling a refund, exporting orders, changing a URL, adding redirects, updating structured data, restoring a deleted page and transferring a domain. Test the tasks that would hurt if they failed.

Use trials as acceptance tests

Create a short page with your real headings, images and call to action.
Build the most important form, booking or purchase journey.
Test the published result on a phone and with keyboard navigation.
Change a URL and find the redirect controls.
Export the data the platform claims you can export.
Invite the person who will maintain the site and observe where they struggle.
Write down which limitations are acceptable and which are deal-breakers.

Warning signs

The plan comparison hides renewal prices, transaction charges or feature limits.
You cannot identify who owns the domain or how to move it.
The platform cannot export important content or customer data in a useful format.
A critical workflow only works through several untested third-party apps.
The site looks acceptable on desktop but requires manual repair on many mobile pages.
The business cannot add another administrator or recover access independently.

Decision rule

Choose the least complicated platform that completes every must-have workflow, gives the business control of essential accounts and remains affordable under a realistic three-year scenario. Do not pay for theoretical flexibility, but do not ignore a limitation that will predictably force a rebuild.

Create a requirements sheet that another person can test

The requirements should be concrete enough for a colleague or supplier to reach the same conclusion. Include the number of pages or products, expected editors, languages, forms, booking rules, payment methods, integrations, reporting and accessibility needs. Note which requirement is legally or operationally important and which is merely desirable.

Add a “not required” list. This prevents the project from paying for membership, automation or advanced marketing features simply because they appear in a demonstration.

Compare support responsibility

A managed platform may offer one central support route for the core product, but an app, payment provider or domain registrar can still sit outside that responsibility. Ask who investigates a failed booking, missing email or checkout problem and whether the business can access logs or evidence.

Plan for account recovery

The chosen platform should allow at least two appropriate administrators, business-controlled billing and a recovery method that will still exist if an employee or contractor leaves. Store recovery codes and ownership records securely. A technically suitable builder is not safe if only one external person can access it.

Review after launch

Set a review date six to twelve months after launch. Compare actual costs, support incidents, editing time and new requirements with the original decision. This turns platform choice into a managed business decision rather than a permanent assumption.
