Before you make a change

Changing nameservers, MX records or live hosting can interrupt both the website and email. Record the current configuration and prepare a rollback before editing production DNS.

Start with ownership, not products

The safest setup is one in which the business can identify the registrant, registrar, DNS provider, hosting provider, certificate arrangement and email provider without relying on one freelancer’s memory. These services may be supplied by one company, but they remain separate functions.

The five layers that must be documented

Choose a practical route

Register the domain in the business’s legal or trading identity where appropriate.
Create registrar and provider accounts using a business-controlled email address.
Decide who will host DNS; do not move nameservers merely because a new supplier asks.
Choose hosting for the application, expected traffic, support needs and recovery capability.
Set up HTTPS and test automated renewal.
Configure business email and anti-spoofing records before using the domain publicly.
Document every supplier, renewal date, account owner and recovery method.

What usually goes wrong

The developer registers the domain in a personal account.
A nameserver change unintentionally disconnects email.
Hosting is cancelled before a verified migration is complete.
A certificate is installed once but renewal is not tested.
The only recovery address belongs to a former employee or contractor.
The business has backups but has never tested restoration.

A sensible next step

Create a one-page ownership record before buying or moving anything. If any account or supplier is unknown, resolve that gap first; a new hosting package does not fix missing ownership.

A realistic small-business setup

A common low-risk arrangement is to keep the domain at a reputable registrar, host DNS with a provider that offers change history and export, run the website on a managed platform, and use a dedicated business-email service. One supplier may still provide several layers, but the ownership record should name each function separately. If the web host is replaced, the registrar and email should not have to move automatically.

Before approving any supplier proposal, ask for the provider names, account holder, renewal price, backup location, recovery route and exit method. A proposal that lists only “domain and hosting included” hides the most important operational details.

Final publication check

The business controls the registrar, DNS, hosting and email administration routes.
A current DNS export and tested website backup exist outside the live service.
Renewal, recovery and supplier-exit responsibilities are named.
A change to one layer can be made without accidentally cancelling the others.
