Prepare before requesting quotations

Suppliers cannot price an undefined project reliably. Before approaching them, prepare:

a concise business and audience description;
the website objective and primary action;
a provisional page list;
required functions and integrations;
an inventory of existing content and accounts;
the desired launch window and any genuine deadline;
the working budget or at least an affordable range;
the person authorised to approve decisions.

It is acceptable for discovery to refine these details. The problem is asking for a fixed quotation while leaving most of them unknown.

Evaluate evidence, not confidence

Ask candidates to explain relevant work, the problem they solved and their own role. A polished portfolio may include projects where the candidate contributed only one part. For technical work, ask how they test, deploy, back up and recover a site. For copy, ask how they obtain source information and verify claims.

References can be useful, but the contract, process and deliverables still need to stand on their own. A friendly recommendation does not replace clear ownership or acceptance criteria.

Protect ownership and continuity

Register the domain in an account controlled by the business.
Use business-controlled email addresses for critical services.
Keep a record of hosting, DNS, analytics, Search Console, payment and booking accounts.
Use separate named accounts rather than sharing one administrator password.
Require a handover of source files, licences, documentation and backups where applicable.
Record what support is included after launch and how exit assistance is charged.

The UK National Cyber Security Centre recommends protecting important online accounts, including website and domain-hosting services, and storing recovery information safely. Account ownership is therefore a security issue as well as a commercial one.

Manage decisions in writing

Meetings are useful for discussion, but approved scope, content and changes should be recorded. A simple decision log should include:

the decision;
who approved it;
the date;
the effect on cost or schedule;
the files or pages affected.

This protects both sides. It prevents the client from forgetting an agreed compromise and prevents the supplier from treating an unapproved suggestion as a paid change.

Accept the website by testing real tasks

Do not approve only screenshots. Test the working site:

send a real form enquiry and confirm delivery;
complete a test booking or purchase where relevant;
check mobile navigation and keyboard access;
confirm redirects from important old URLs;
verify analytics and Search Console ownership;
restore or at least validate a backup;
make a routine content update using the supplied instructions.

What to check before appointing anyone

Is the exact scope written down?
Do you know who will perform each discipline?
Are exclusions and recurring costs visible?
Are ownership and handover terms clear?
Is there a change-control process?
Can the business operate or transfer the site after completion?
