A contact page should route an enquiry to a monitored process and set realistic expectations. Publishing several channels is not helpful if nobody owns them or the customer receives no confirmation.
In brief: Make the right route obvious, test delivery and provide a fallback.
Provide context for every channel
Contact routes
- Telephone
- Explain: Hours, purpose and accessibility alternative; Test: Call from mobile and verify voicemail
- Explain: Type of enquiry and expected response; Test: Send externally and inspect delivery
- Form
- Explain: Required information and privacy notice; Test: Successful, invalid and failed submissions
- Address
- Explain: Visiting, correspondence or registered-office purpose; Test: Map, access and whether appointments are required
- Booking
- Explain: Services, availability and cancellation terms; Test: Confirmation, reminders and calendar entry
Design the form around handling
- Ask only for information needed at the first stage.
- Do not request sensitive details through a general form.
- Show a clear success message and send an acknowledgement where appropriate.
- Log a server-confirmed submission without exposing the message in analytics.
- Define who covers holidays and staff absence.
Meet disclosure and privacy needs
A UK company must display required trading information on its website. Explain how contact data is used and retained, and distinguish a registered office from a customer-facing location.
How to check the result
Send a real enquiry from a phone on an external network and confirm the customer acknowledgement, internal delivery, response ownership and backup route.
What often breaks
A contact page can appear complete while enquiries disappear into spam, an ex-employee mailbox or an integration nobody monitors. The customer sees a success message, but the business has no server-side record and no way to know that delivery failed.
Keep these records
- Contact-route owner and cover arrangements
- Form field and retention register
- Delivery, acknowledgement and failure tests
- Escalation and response targets
- Registered-office and visiting-address definitions
A practical next move
Send test enquiries through every published route from outside the company network. Trace each one to a named queue and confirm what the customer sees if delivery fails.

Keep the decision under your control
Retain the relevant accounts, source material, supplier terms and recovery information. Recheck changing prices, interfaces and rules before acting.
